Arrow@TUDublin

A guide to our institutional repository, Arrow@TUDublin, from how to set up and account and upload, to how to start a journal or host your conference on Arrow.

Create an Account

To submit to Arrow (with the exception of submitting to Journals published through Arrow), you must first create an account. 

To create an Account: 

  1. Go to the Arrow home page https://arrow.tudublin.ie/

  2. You will be taken to a Login page. Click on the ‘Sign Up’ link circled below: Screenshot of Account Login page. Asks for email and password. If you do not have an account, the option to 'Sign Up' is at the bottom of the login.

  3. Please ensure your affiliation is Technological University Dublin, enter your email, create a password, and submit. You can update your email on this account at any time.  Please note you can update your email if you leave TU Dublin from your settings, we cannot change any account details on your behalf due to GDPR (General Data Protection Regulation).  

  4. You will receive an email with an activation link, click on that to activate your account and you are ready to submit to Arrow. 

     

Submitting to Arrow

For submission, Arrow is divided into Research Institutes/Centers/Groups and Faculties. The method of submission is the same in each case. 

Journals published through Arrow have a different submission format – submit through journal homepages. 


Example: 

In this example, I want to upload an Article to the School of Culinary Arts and Food Technology.  

  1. Click on Faculties (https://arrow.tudublin.ie/colleges/) 

  1. Click on Faculty of Arts and Humanities (https://arrow.tudublin.ie/facappa/

  1. Click on the School of Culinary Arts and Food Technology (https://arrow.tudublin.ie/tfschcaf/)  

  1. Click on Articles (https://arrow.tudublin.ie/tfschafart/)  

  1. You will see the list of published submissions for that category. On the right side, under Author Corner you will see Submit Research: Screenshot of the Author Corner links on Arrow. Includes Author FAQ and the Submit Research option for uploading.

  2. It is important that you select the right item type (Article, Book Chapter, Conference Paper etc.) as, while material can be moved after it has been saved to the system, it leaves behind a message saying the item has been moved. 

    You will be directed to the Submission Form for the chosen type (below example for Articles), which you must agree to upload a submission. You may wish to print this page for your records.  Please read and check the box indicating you agree to the terms: Screenshot of the Submission Form agreement. This will come up when you submit to any area of Arrow.

  3. Agreeing to the Submission Form terms will bring you to the metadata form. Required metadata fields are in Red and cannot be left blank.  

  4. The system will autofill you in as the first author. You can change the order of the authors by changing the number beside the name. Please include the names and affiliations of ALL co-authors (plus email addresses if you have them). You can add authors by clicking on 'Add Author.’ You can delete authors by clicking on the person icon with the X on the left, and you can edit an author by clicking on the person icon with the pencil. 

  5. Please enter the email address of the corresponding author (one address only please) to be used for a Contact the Author button. 

  6. If adding an ORCid (Open Researcher and Contributor ID), please enter the full URL. Please note that only one ORCid can be accepted in this box. 

  7. Fill in as much detail as you can. The following few metadata fields are required – Document Type defaults to Article (bear this in mind when uploading other works); Publisher (which will be TU Dublin); Format (only options are PDF or JPEG); Publication date (year is required, month and date optional); and Embargo Period (if any, please select from the drop-down).  

  8. The next two fields are not required, but can be added for a more complete record: 

  9. Keywords are not required by the system, but we ask that you include at least 3 keywords. There are many reasons for this, but chief among them is that most people find works on Arrow through search engines, which pull titles, keywords, and abstracts to point people to items. Including many keywords is encouraged, but 3 is the minimum. 

  10. Disciplines is the next metadata item, and there are two boxes to choose from: The first box we have control over and can add items to better categorise your research – for example, we recently updated the list to include the many areas of Culinary Arts (6.2). The second box is the Digital Commons Network disciplines. This is a method of categorising research into discipline areas for the entire network. You can browse the Discipline Wheel from the homepage, or at https://arrow.tudublin.ie/sunburst.html 

  11. Please select a specific category or set of categories for your submission. To select more than one option use the Ctrl key. Double click available items to include them or click once and use the 'Select' button for each item. 

  12. Publication details and Abstract are the next metadata fields. Please use Publication Details for any additional information such as the name of the journal the article appeared in, the name of the conference where the paper was presented or any other relevant information. 

  13. Please paste the whole abstract into the box. 

  14. The DOI (Digital Object Identifier) box should remain blank if there is no DOI minted for the work. The library will mint DOIs, and you do not need to do anything.  

    If you have published your work elsewhere, there may be a requirement to use the DOI attached to the published version in the Institutional Repository. You can check individual journal Green Open Access requirements at Open Policy Finder: https://openpolicyfinder.jisc.ac.uk/ 

  15. The Recommended Citation is for use if you wish to manually override the system generated citation. This may be necessary if you have published your work elsewhere.

  16. Please tick the box if this work has been peer reviewed. 

  17. We ask that you upload the full text file and do not link out unless necessary. Links break and rot, uploading the full text file ensures that users can access your work going forward.  

  18. If you wish to add additional files, check the box under ‘Files.’ You will have the option to do so once you click ‘Submit’ at the end.  

  19. If you have a Funder, enter this information in the metadata fields.  

  20. Select the appropriate Creative Commons license. There is a helpful tool to assist you, Creative Commons License Chooser, available here: https://chooser-beta.creativecommons.org/  If your work has been published elsewhere, there may be requirements on which license this version can be published under. You can check this at Open Policy Finder: https://openpolicyfinder.jisc.ac.uk/ 

  21. Finally, click the Submit button at the very bottom of the Metadata Form. Please only click the button once, it may take a few minutes to process. 

    You will see the button change to Processing, and then Completed

  22. At that stage the system will send an email to the library staff who check the submission for compliance with publishers’ policies and then save the item to the system. You will be notified by email when that happens. You can make changes to your submission up to the time it is saved to the system by library staff. After which only they can make any changes. If you notice any errors after this, send an email to the Arrow Admin at arrow.admin@tudublin.ie 

  23.  After 2/3 days you should receive an email saying you have been published on Arrow. If you do not, contact library staff as sometimes the email alerts do not work (and we're also human!).
